Privacy Policy

This policy explains what IEngrave Optics LLC (“IEngrave Optics”, “we”, “us”) collects when you visit iengraveoptics.com, fill in our sign-up form, or use our web portal at portal.iengraveoptics.com; how we use and share it; and the choices you have.

Who we are

IEngrave Optics LLC is a wholesale lens lab. We sell to optical stores, eyewear dealers, jewelers and other trade buyers. You can reach us at sales@iengraveoptics.com.

What we collect

  • Your sign-up form answers: who you are (your type of business), what you’re inquiring about, whether you’re interested in our stock program, whether you’ll be ordering RX, and your expected monthly ordering volume.
  • Your contact details: name, business name, email address and phone number.
  • Details sent with the form: your IP address, your browser’s user agent (its name and version), the page that linked you to the form, and whether your browser sends a Global Privacy Control signal.
  • Ad and campaign details: if you arrive from an ad or a tracked link, the campaign details in that link (such as the campaign, ad set and ad names and ids, and where the ad was shown) and Meta’s click id (fbclid).
  • Cookies and browser storage, described below.
  • If you have a portal account: the information described under The web portal.

How we use it

  • To respond to your inquiry, including a confirmation email when you submit the form.
  • To set up and run your account: orders, invoices, statements, payments, shipping and support.
  • To measure and improve our ads, such as which campaigns bring inquiries and new customers.
  • To send marketing email, which you can unsubscribe from at any time (see Marketing email).
  • To keep our website and portal secure and to block spam and abuse.

Meta Pixel and Conversions API

We advertise on Facebook and Instagram. To see which ads bring inquiries, our sign-up pages and iengraveoptics.com can use the Meta Pixel, a script from Meta Platforms, Inc. that runs in your browser, and the Meta Conversions API, which sends events to Meta from our server.

  • The Pixel tells Meta when one of those pages loads, when you complete a step of the sign-up form (which step, not your answer), and when you submit the form.
  • When you submit the form, our server sends Meta a matching “Lead” event with: your email address, phone number, first and last name, country, and a random id for your submission, each hashed (turned into a code with SHA-256) before it is sent; your IP address and browser user agent; the address of the page that linked you to the form, without its query string; Meta’s click and browser ids (the _fbc and _fbp cookies); and general details that don’t identify you: your type of business, your stock program answer, whether you’ll order RX, and a range for your monthly volume. Once you’ve filled in your contact details, the Pixel can also send the same hashed contact details from your browser.
  • If you later open an account or pay for your first order, we may send Meta an event saying so, so we can see which ads bring customers. It carries the same hashed details as the Lead event, plus your IP address, browser user agent and Meta’s click and browser ids while we still keep them, and for a first order, its value and number of items.

Meta compares hashed details with its own records to connect these events to its ads, and handles the information under its own terms and privacy policy. We don’t use the Meta Pixel on the portal’s sign-in, account, order, invoice, statement or payment pages. If your browser sends a Global Privacy Control signal, see Your choices for what changes.

Cookies and browser storage

These cookies are set for iengraveoptics.com and its subdomains, including the portal, so campaign details carry over from our website to the sign-up form.

_fbp
Meta's browser id, so Meta can tell visits from the same browser apart from others. Set by the Meta Pixel, or by our server if the Pixel hasn't set it.

  • Sign-in cookies keep you signed in to the portal. The portal needs them to work, and they aren’t used for advertising.
  • Sign-up form progress: your answers to the questions are saved in your browser for up to 7 days so you can pick up where you left off, and your contact details are kept only for the current browser tab. Both are cleared when you submit the form.

You can block or delete cookies in your browser settings. The sign-up form still works without them.

Marketing email

  • When you submit the sign-up form, we email you a confirmation. We may then send up to two follow-up emails, about 30 and 60 days later, unless you’ve become a customer, we’ve closed your inquiry, or you unsubscribe.
  • If you have a portal account, we may send occasional promotional emails, for example when stock lenses are ready or restocked, or ahead of a busy season.
  • Every marketing email has an unsubscribe link. We keep a record of unsubscribed addresses so we don’t email them again.
  • Service emails aren’t marketing: order and shipping updates, invoices, statements, payment receipts and password emails continue while you’re a customer.

The web portal

The portal is for our wholesale customers and our team. For each account we keep your name, email address, phone number, business name and type, shipping and billing addresses, your orders (including engraving designs and artwork you upload), invoices, statements, payments, shipping and tracking details, and notes our team adds to support you. Our admins and your sales representative can see your account in order to serve you.

  • Card payments are processed by Stripe. You enter card details on Stripe’s forms and Stripe stores them; we never receive or store your full card number. We keep a record of each payment and a reference to any card you save with Stripe.
  • Share links: we can send you an invoice, statement or payment page as a private link. Anyone with the link can open that page, so please don’t forward links you’d rather keep to yourself.

Who we share it with

  • Service providers that host our website, portal, database and files, deliver email, process card payments, and ship and track orders. They may use the information only to provide their services to us.
  • Shipping carriers receive the name, address and phone number needed to deliver an order.
  • Meta, as described in Meta Pixel and Conversions API.
  • Others when required: to comply with the law or a valid legal request, to protect our rights and our customers, or as part of a merger, acquisition or sale of our business.

We don’t sell your personal information for money. Some U.S. state privacy laws treat sharing information with Meta for advertising as “sharing” or “targeted advertising”. You can opt out of it as described under Your choices.

How long we keep it

  • Sign-up form submissions (your answers, contact details and campaign details) are kept while we need them to follow up and for our records, or until you ask us to delete them. Campaign and ad names are kept for reporting.
  • Your IP address, browser user agent, and Meta’s click and browser ids saved with a submission are deleted after 180 days.
  • Copies of the events we send to Meta are deleted after 30 days.
  • Account, order, invoice and payment records are kept while you have an account and afterwards for as long as we need them for accounting, tax and legal purposes.
  • Unsubscribe records are kept so we can keep honoring them.
  • Cookies and form progress last as listed under Cookies and browser storage.

Your choices

  • Global Privacy Control (GPC): if your browser sends a GPC signal, we treat it as a request to opt out of sharing for advertising. We don’t load the Meta Pixel, we don’t set the _fbp or _fbc cookies, and the Lead event our server sends Meta is marked for Limited Data Use, which limits Meta to using it to measure our ads. We send Meta no later events for that submission. We still save your submission and may set ieo_ft and ieo_lt for our own reporting.
  • Meta ad settings: you can choose how Meta uses information from other websites to show you ads in your Facebook or Instagram settings, under Accounts Center, Ad preferences.
  • Cookies: you can block or delete them in your browser settings.
  • Marketing email: use the unsubscribe link in any marketing email, or email us.
  • Access, correction and deletion: email sales@iengraveoptics.com to ask for a copy of your information, to correct it, to delete it, or to opt out of sharing for advertising. We may need to confirm it’s you, and we keep records the law requires us to keep, such as invoices.

Security

We use encrypted connections (HTTPS), keep the keys to the services we use encrypted, and limit what each portal user can see by their role. No system is perfectly secure, but we work to protect your information and to fix problems quickly.

Children

Our services are for businesses. They aren’t directed to children, and we don’t knowingly collect information from children under 13.

Changes to this policy

If we change this policy, we’ll update this page and the date at the top.
